TERMS OF REFERENCE (TOR) FOR PROVISION OF GRAPHIC DESIGN SERVICES

1.0 About AATF

AATF is an international not-for-profit organization that is empowering smallholder farmers across Sub-Saharan Africa with a wide choice of agricultural innovations that contribute to food and nutrition security to generate health and wealth for their families and communities. Established in 2003 as an African-led entity, AATF works with public and private partners across the full food value chain to access, develop, deliver, and commercialize innovative technologies that bring meaningful change to Africa’s agriculture. AATF is driven by a vision of a prosperous and food-secure Africa, one where millions of smallholder farmers can transform African agriculture with the same innovations that are transforming food production around the world. AATF believes the farmers in Africa will become globally competitive through the use of the best technology, optimal agricultural practices, strategic product value addition, and boosted access to efficient markets within and outside Africa.

2.0 Objectives of the assignment:

AATF is seeking to enter Long-Term Agreements (LTA’s) with selected service providers to support the organization and especially the communications unit to deliver quality communication materials that fit its brand positioning and are in line with its branding guidelines.

The contractor will be guided by the terms of reference outlined below:

3.0 Scope of work

  • Layout and design of reports and other information and communication materials (banners, posters, booklets, leaflets, book chapters, calendars, brochures, newsletter, bulletins, flyers, cards) for printing and electronic distribution
  • Deliver creative and innovative ideas for print, electronic, web-based content.
  • Layout and design information and communication materials (banners, posters, booklets, leaflets, book chapters, calendars, brochures, newsletter, bulletins, flyers, cards)
  • Ensure that all publications, reports and products are produced in line with AATF brand manual.
  • Improve and edit artwork, photos, charts, tables and other graphic elements.
  • Deliver creative graphic and technical solutions for use of new media (virtual 3D words/boxes, postcards)
  • Generating designs from concept stage to final delivery and actively contributing to the creative process
  • Implement the graphic guidelines in all AATF communication products.

Detailed specifications for each individual assignment will be given to the selected designer as and when the designer’s services are requested.

4.0 Qualifications and expertise

The successful individual/entity is required to meet the following criteria:

  • Individual/company must be a reputable graphic designer with at least 5 years’ experience in designing and layout of information and communication materials.
  • The team leader or members should have at least a degree in graphic design or related field.
  • Strong practical background in graphic design, including the use of design software such as Adobe Design Premium, In-Design, etc.
  • Show a clear and mature style of design, demonstrating an understanding of the communication requirements of AATF.
  • Proven experience of graphic production from start to published/printed product with knowledge of printing processes (offset and digital) and colour management;
  • Good understanding of new and evolving technologies and digital platforms;
  • Working experience in development space is desirable.

5.0 Deliverables

Quality design for various AATF assignments completed in line with AATF branding requirements and within specified deadlines.

6.0 Duration

The contract will be for an initial year (1) year period with an option to extend up to 3 years subject to satisfactory performance by the service provider and the continued need for the service.

7.0 Application requirements

Interested individuals and companies should submit proposals (not more than 10 pages) containing.

  1. Cover letter detailing individual or company profile, and proof of company registration /incorporation and tax compliance.
  2. Capability statement with brief explanation of the understanding of the assignment describing the qualifications and experience of their proposed team and the roles of each team member.
  3. CV(s) for the individual or team members
  4. Copy of catalogue or samples of design work previously done (provide samples or links and reference details) .A minimum of 5 samples or links is expected.
  5. List of clients that the individual or company is serving or has served.
  6. A minimum of Five Recommendation letters from clients in relation to the subject matter
  7. Detailed Price schedule presented in table format as per the scope of work above.

  10. KRA PIN certificate

8.0 Application criteria

Interested candidates should submit their application on or before 18th August 2023.  Applications should be submitted to AATF Procurement Officer at procurement@aatf-africa.org with the subject line “DESIGN SERVICES”.

9.0 TERMS AND CONDITIONS OF THE PROPOSAL

AATF reserves the right to request new or additional information regarding each service provider and any individual or other persons associated with its project proposal.

AATF reserves the right not to make any appointment from the proposals submitted. Service providers shall not make available or disclose details pertaining to their Project proposal with anyone not specifically involved, unless authorized to do so by AATF. Service providers shall not issue any press release or other public announcement pertaining to details of their project proposal without the prior written approval.

AATF Service providers are required to declare any conflict of interest they may have in the transaction for which the tender is submitted or any potential conflict of interest. AATF reserves the right not to consider further any proposal where such a conflict of interest exists or where such potential conflict of interest may arise.

10.0 CONFIDENTIALITY STATEMENT

All data and information received from AATF for the purpose of this assignment are to be treated confidential and are only to be used in connection with the execution of these Terms of Reference. All intellectual property rights arising from the execution of these Terms of Reference are assigned to AATF.
